Alumni Online E-Mentorship Agreement

This agreement has been designed to protect the e-mentors and the e-mentees. It covers the definition of an e-mentor/mentee, confidentiality, inappropriate communications and ending your involvement with the programme. These guidelines are here to help, but they may be subject to change and revision in light of experiences. If you feel there are any areas that are not covered here, they should be brought to the attention of the IAD at iad@alumni.uwi.edu. Both E-mentors and E-mentees will be asked to agree to the terms of this agreement.

Definitions:

An E-mentor is a UWI graduate who is a member of the Alumni Online community. An e-mentor will, without compensation or expectation of compensation, perform the task of mentoring via e-mail/ his is a way for UWI graduates to “give back” and directly assist students (future graduates).

Confidentiality:

In order to provide support for E- mentors and E-mentees and the team, information may be shared in confidence with members of the IAD. Breaches of confidentiality will result in the expulsion from the programme. E-mail messages may, at the discretion of the IAD and in total confidentiality, be evaluated if there is concern about a student’s behaviour or well being and in order to measure the effectiveness of the programme and assist in its further development.

Inappropriate communications:

When using email E-mentors and E-mentees are required to adhere to appropriate behaviour. Inappropriate use of emails will result in exclusion from the e-mentoring programme and may also result in disciplinary action by the university Information Services. E-Mentors and E-mentees should be respectful and courteous in all interactions and respect cultural, religious, and economic differences, ideas and values. E-Mentors and E-mentees should not engage in any inappropriate communication that includes,-but is not limited to, verbal abuse, unwanted swearing or conversations that include or refer to sexual content and racist, sexist or homophobic language. Possible grounds for exclusion from the scheme may also include, but are not limited to, the following: abuse or mistreatment of E-mentees or E-mentors, failure to abide by E-mentoring policies and procedures; and evidence of academic plagiarism or cheating. If at any point you receive ANY e-mail that you feel is inappropriate, for ANY reason, please raise your concerns and forward the communication along with any other details to the IAD at iad@alumni.uwi.edu

Ending your mentoring participation:

The E-mentor or the E-mentee may at any time and for whatever reason, decide to terminate their participation with the programme. No reason need be given, but it would help the Alumni Online team evaluate the effectiveness of the programme if you could outline the reason/s.
