What is Microsoft 365?

It is an evolution of what was previously known as Office 365, integrating both software applications and the Windows operating system.

 

What does migration mean?

Migration in this context refers to the process of moving your email, contacts, calendar, and other data from the existing Exchange server to Microsoft 365. This transition ensures that all your data is transferred securely and that you can continue to access your email and other services seamlessly through the new platform.

 

Is the migration necessary?

Yes, the migration to Microsoft 365 is necessary to take advantage of the latest features, improved security, and better integration offered by Microsoft 365. It ensures that our organization stays up-to-date with modern technologies and enhances productivity and collaboration capabilities.

 

What does the migration process involve?

The migration process involves several steps:

  • Planning and Preparation: Assessing the current environment, planning the migration strategy, and preparing users for the transition.
  • Data Backup: Ensuring all data is backed up to prevent any loss during the migration.
  • Migration Execution: Transferring email, contacts, calendars, and other data from the existing Exchange server to Microsoft 365.
  • Testing and Validation: Verifying that all data has been migrated correctly and that services are functioning as expected.
  • User Transition: Providing users with instructions and support to access their new Microsoft 365 accounts and ensuring a smooth transition with minimal disruption.

Will there be a change in the size of my mailbox? What is the email quota for Microsoft 365 email accounts?

The standard email quota for Microsoft 365 accounts is 50 GB per mailbox.

PRE-MIGRATION

 

Will my emails be migrated for me?

Yes, your email data will be migrated to Microsoft 365 by our IT team. You will receive instructions if any actions are required from your end.

 

What will change in Outlook on my work PC?

The look and feel of Outlook will largely remain the same, but you will benefit from enhanced features, better integration with other Microsoft 365 applications, and improved security.

 

Where will I find my email?

Your email will be accessible through the Microsoft Outlook application, which can be accessed on your desktop, through a web browser at https://outlook.office.com, or via the Outlook mobile app.

 

How secure would my data be in Microsoft 365?

Microsoft 365 employs robust security measures, including encryption, multi-factor authentication, and advanced threat protection to keep your data safe.

 

What will be required if I have a large mailbox and archived PST files?

Users with large mailboxes or archived PST files should ensure they are backed up. Specific instructions will be provided on how to manage these files during the migration.

 

How will shared mailboxes be handled in the migration?

Shared mailboxes will be migrated in the same way as individual mailboxes. Access permissions will remain unchanged.

 

What will happen to my archived emails and folders?

Archived emails and folders will be migrated to Microsoft 365. Specific instructions will be provided if any actions are needed from your end.

 

Will my calendar and contacts be migrated as well?

Yes, your calendar and contacts will be migrated along with your email.

 

Will I be able to use my existing email signature after the migration?

Yes, your email signature will be preserved during the migration. You may need to verify or update it after the transition.

 

DURING MIGRATION

 

Will the UWI email system work during the migration process?

There is no expected downtime for email during migration, and email delivery should flow as normal during that time.

 

What should I do if I encounter issues during the migration?

POST-MIGRATION

 

How do I sign into my Microsoft 365 Exchange Online account?

You can sign into your M365 Exchange Online account with your firstname.lastname@uwi.edu email and your password at https://portal.office.com.

 

Will I need to reinstall Office applications on my computer?

No, you will not need to reinstall Office applications. The migration is expected to be seamless, and your existing applications will be updated as needed.

 

Will I be able to access my email access my email offline?

Yes, you can configure Outlook to download emails for offline access. Instructions will be provided to ensure you can work without an internet connection.

 

Can I use Microsoft 365 on my mobile devices?

Yes, Microsoft 365 is accessible on mobile devices through the Outlook app and other Office mobile applications available on iOS and Android.

 

What training resources are available for Microsoft 365?

The Office of the University Chief Information Officer (CIO) and the University ICT group have developed an easy-to-follow repository of tools to guide you through the new policy.
