What is the UWI Data Protection Policy?

A policy document approved by the University Finance & General Purposes Committee (U-F&GPC) on February 14, 2020 that governs personal data provided to and/or maintained by The UWI pertaining to previously registered, registered or prospective students, UWI personnel, staff and third parties. It applies to data held in both manual and electronic formats.

Who is required to comply with The UWI Data Protection Policy?

The policy applies to all authorised staff who handle the personal data of staff, students, suppliers, and alumni on behalf of The UWI. The roles and responsibilities of key personnel are clearly outlined in the policy.

What kind of personal data does The UWI process?

Personal data processed by The UWI entails:

  • student registration information;
  • examination results;
  • health records;
  • employment records;
  • financial information; and
  • data related to alumni, friends and partners of The UWI.

Does the UWI utilise automated decision-making and automated processing of personal data?

The UWI does not utilize automated decision-making i.e. (a) making a decision solely by automated means without any human involvement and (b) automated processing of personal data, including sensitive personal data, to evaluate details about an individual.

What are The UWI's legal obligations regarding processing personal data?

The UWI as a Data Controller, has a legal responsibility to:

  • Obtain and process information (data) fairly (with consent and without making false claims about the intended use of the data);
  • Keep personal data only for one or more specified, explicit and lawful purpose(s) and not be further processed in a manner incompatible with those purposes;
  • Process personal data only in ways compatible with the purposes for which it was given initially;
  • Keep personal data safe and secure
  • Keep personal data accurate, complete and up-to-date;
  • Ensure that persona data are relevant and not excessive;
  • Retain personal data no longer than is necessary for the specified purpose or purposes;
  • Provide a copy of his/her personal data to any individual, on request.

What are your rights as the data subject?

As a data subject, you have the right to be informed about how The UWI processes your personal data, to access and correct your data, request its erasure in certain circumstances, and restrict or suspend its processing. You also have the right to data portability, to object to processing based on legitimate grounds, and to not be subject to automated decision-making or profiling. These rights are subject to the University’s policies and legal obligations.
